Jody Hay is director of HR at TA Services where, he says, the company has “embraced Generative AI as a valuable tool to enhance HR functions, including training and development, content creation, and employee engagement analysis.”
But he’s quick to add, that doesn’t mean that the human has been removed from human resources. “While we still rely on human oversight and expertise, AI has significantly increased our efficiency and effectiveness in certain key areas.”
Hay explains how GenAI is being used in several areas to gain efficiencies.
Job Analysis and Course Material Creation
“One of the biggest time savers has been using ChatGPT to assist with job analyses and job description development,” Hay shares. “We upload multiple completed job analysis questionnaires—sometimes as many as six at a time—and ask AI to generate job descriptions that include the specific sections we need. While we always review and refine the output, AI does an excellent job of synthesizing the data into a structured, usable format.”
Using that approach, Hay says, TA Services has produced more than 50 job descriptions efficiently—something that would have consumed a massive amount of time without these tools.
Enhancing Employee Communication
At TA Services, ChatGPT is also leveraged for drafting internal communications, especially all staff emails, Hay says. “AI-generated drafts help us quickly craft clear, professional messages, which we then customize to align with our company’s values and goals. This ensures our communications are consistent and well-structured while reducing the time spent drafting from scratch, freeing my team and me up for more strategic work.”
Closing Gaps in Employee Engagement
Hay shares that the company’s employee engagement platform, 15Five, integrates AI to scan and analyze survey responses, identifying key themes and specific opportunities for improvement. This, he says, “has been instrumental in recognizing areas that require action, allowing us to develop targeted learning and development initiatives based on employee feedback.”
There’s no need to wade through responses manually, saving time and boosting accuracy.
Balancing AI and Human Oversight
Hay says that GenAI has allowed TA Services to accelerate content creation, especially for tedious tasks, and to make processes more scalable.
But he stresses, human oversight is still essential. “AI-generated content still requires refinement,” Hay says. “While AI provides a strong foundation, adding our company’s specific language, values, and examples makes the materials more impactful.”
The key, he says: balancing AI-driven efficiency with human expertise to ensure quality and relevance in every output.
